Getting to know Datamedica

We talked with Vitalis Hadges, general manager of Datamedica and Andrea Mogollón, accountant of the company, who told us about before and after starting to work with Rindegastos, the changes they have observed and the benefits that the platform has given them brought to all areas of the company.
 
Datamedica is dedicated to the sale and services of medical equipment in the imaging area, that is, everything that has to do with diagnostics in the imaging area such as X-ray equipment, digital mammographs, scanners and others. Its clients are found throughout Chile and are mainly clinics, medical centers and hospitals.
 
Among their spenders are technical service engineers who are constantly visiting customers and sales executives who are dedicated to sales visits and equipment demonstrations. In total they make up a team of approximately 25 people who are constantly traveling in and out of Santiago and each trip means expenses and bills to pay.

 

Before Rindegastos

“At the beginning of 2020 we were growing quite a bit and, therefore, the number of Reports was increasing exponentially. At that moment I heard an advertisement for Rindegastos on the radio. We decided to give it a try”, Vitalis tells us.
 
Before Rindegastos, every day at Datamédica they physically received dozens of bills and paper statements. The people in charge of the administrative part were not able to process all the information and accumulated more and more statements to review and reimburse .
 
Vitalis offered his team to test the platform and it was a huge success .
 
“It really was a solution for us, as it allows us to make the expense reporting work much faster, more efficient and easier for both the administrative area and the renderers.”

Andrea Mogollón, who is in charge of accounting at Datamedica, adds that “the rendition stack could not be lowered, because the entire process was very slow. Generally we had a delay of up to 15 days in giving response to the renderers, which generated claims and inconveniences“.
 
Since technicians and engineers spend most of their time in the field, they couldn't find the time to sit at a desk and do the expense reportings, which increased the delay in the delivery of information to the accounting area.
 
“Communication did not flow between areas, we received complaints about delays and the entire process from the time the person made the submission to the time the refund was generated could easily take a month”, adds Andrea.

 

Performing like never before

Since the implementation of Rindegastos in Datamedica, different areas of the company have been able to save time in administrative work related to the expense reporting, review and approval of expenses, now having those hours to perform tasks that really add value to the company.
 
Miguel Arteaga, who is today a commercial manager, comments that thanks to the arrival of Rindegastos, “we can currently have this time to serve clients, do quote evaluation work, proposals of new businesses or analyze the market with more time. We are more efficient over time”.

A relief for the accounting area

Andrea, in charge of the accounting part, comments that they have also been able to achieve much greater order and control in the area. When the process was done manually, there was a lot of stress in the area due to being at the limit in the compliance with the deadlines for review, approval and subsequent return in the statements of expenses and an accumulation of work that seemed to never end.
 
Now the entire process is much faster and more comfortable for all areas. The renderers have the information at hand about the status of their expense reporting; if it has already been approved, if they have any comments, if it is OK or if it is rejected and why. Before, communication was very cumbersome and that could mean up to 2 months to complete the process“, says Andrea.
 
With Rindegastos, Datamedica employees who are working in the field now have the facility to digitize their expenses in real time and send reports for approval from the same place where are they.
 
“Rindegastos makes us more efficient, since now we can manage time well and process information better by having everything on the same platform. We can control the situation of each renderer and have immediate communication with them. Now we give answers faster and we can be more proactive by not having to spend extra time on issues that we can resolve immediately“, concludes Andrea.
